Event lighting is a different product entirely
Most outdoor lighting is an installation. Event lighting is built to come down. A wedding, a graduation party, a corporate evening, a reception: the lighting exists for a single evening. That changes everything about how it gets planned, starting with the fact that there is no second chance at it.That single fact drives the rest of it. An installation is judged over years. An event gets one look. Everything gets settled before the week of, since improvising on the day is how events go wrong.
The date is the only hard constraint
Permanent work has flexible scheduling. An event cannot. The lead time is not proportional to the size of the display. A small display still requires the same sequence as a big one.
Power is the question nobody asks
The most common outdoor event problem is power, not aesthetics. Where the power comes from, how it gets to the fixtures, and whether the run is safe to walk over belong in the first conversation. A beautiful plan nobody can energize is not a plan.Tell the lighting company about the band, the caterer and the photographer, since all of them want power and floor space too.
Weather is the other one
An outdoor date carries weather risk. Ask early: what the contingency looks like. Having an answer in advance is the difference between an adjustment and a crisis.
Where to put the effort
Two categories: mood and function. The photographed parts are the overhead canopy, the head table, the ceremony area, the feature tree. Function covers paths, level changes and exits, and it only gets noticed when it is missing. Both belong on the list. Only one of them gets remembered fondly.
Who else needs to agree
If the event is at a venue, the property has its own requirements. Access windows, what can be attached to what, whether anything can be staked into the ground, and when everything has to be gone are all set by the venue, not by you. Getting those two parties connected up front removes most of the day of problems.
Scale
Planning an event, more feels safer. Dark surroundings make everything read brighter, so what looks sparse on a plan often looks generous on the night. Contrast is what makes an evening look like an occasion. Even brightness makes it look like a work site. A designer who says you need less than you think is doing you a favor.
